Learn how to use your Documents section to upload anything related to you and your business and get the answers you need.
At Formations, we're making it easier to upload your documents and get answers to your questions, whether they're about that last item needed to prepare your business tax return or an urgent notice from the IRS.
Review and download a document
How to upload documents
Navigate to the Documents section on the left-hand navigation bar. Here you can see the list of documents that either you or your Formations team has uploaded to your account.
To upload a new document, click on "Upload new Documents" on the top right section - this should open the following window:
You can either drag and drop files from your computer, or you can click the green "Browse Files" button to open up a window on your device.
Search your computer and select the file you'd like to upload. In the example, the "test" document has been selected - clicking "Open" will direct you to the next step. You can either remove the selected document if it was incorrect, or click "Continue" to move to the next step:
Sometimes, file names don't describe their contents. You can rename the file here, or add an optional note. In this example, I'd like to rename this document to "My Test Document" and let my Formations team know that this was uploaded to test this feature:
Clicking "Upload" should show a confirmation message that your document was uploaded successfully.
You and your Formations team can now easily view the uploaded document!
How to review and download a document
There are multiple options to view and download your documents from your Formations account to your local device. Clicking the document name, or clicking "Review File" from the options icon will both open a preview window:
Not all document types are available for preview. However, you can always download the document to your device.
Clicking "Download" from the options icon will download the file as well.
You can see below the download was successful!
How to rename a document
File names are not always clear and intuitive - a string of letters and numbers doesn't easily describe the contents of the file. You or your Formations team can label documents with a custom name. Select the icon on the right side of the document to open up options, and click "Rename File" (highlighted below):
The "Rename File" window will open up. You may replace the file name with new text.
Here, the name has been changed from "My Test Document" to "My Test Doc".
Changes are reflected immediately, as seen below.
Adding notes to documents
If a note already exists on a document, you may select the note icon to open the window. For new notes, click the options icon (three dots) and select "Add Note" from the small window:
Opening the window shows any previous notes on the document as well as a text window to add new notes. Notes are limited to 200 characters:
Notes are a way to both add context for yourself and also communicate with your Formations team. Our user here received a notification from Formations to provide a document to complete their 1120S business tax return, and would like to know if the uploaded document satisfies the request. Clicking "Save" will send a notification to your Formations team.
When a new note has been posted to a document, you'll see a red indicator on the note icon:
In this example, Formations has responded to the note with an updated request:
Our user has been asked to upload an additional statement to their account.
The user navigates through uploading a new document and decides to rename the file according to the request:
Once the Formations team processes the newly uploaded document, a new note has been added, indicated by the red dot on the note icon signaling an unread note.
The Formations team has responded, and our user's work is done!
How to filter documents by notes
Documents that have a note are highlighted with an icon. You can also easily filter your documents to see only those with or without a note by clicking the "Notes" column:
If you wanted to view only documents that had notes, select the "only with note" option and click Confirm.
Only documents that have a note appear, and the "Notes" filter is highlighted to let you know the filter has been applied.
How to view document notes
You can easily view notes on documents two different ways. You can either click on the note icon with any document that already has a note:
A small window will appear to display the existing note(s) and a textbox to add more.
Alternatively, you can click the three dots on the right side of the document to open up your options. Clicking "Add Note" will open up the same notes window.
