User management: how to invite and manage users in your account?

You can invite multiple users to your business account and assign various permissions to their access. Learn how to invite and manage users, and how to edit their permissions. 

As of September 2025, Formations allows you to add users to any business you manage on Formations. When adding a user to your business, you can assign them a View Only or Admin permission, giving them access to only view the information in your business account (View Only) or allowing them to both view the information and take actions in your account (Admin). Once you have access to more than one business, you will be able to switch between businesses in your Formations account, allowing you to have access to those businesses with a single login.  

Inviting a User

  • Click the user dropdown in the side navigation and click the Manage Users option.
  • Click the "+ Add a New User" button.
  • Enter the email address for the new user and select the permission level you want to assign them:
    • View Only - the new user will only be able to view the business information, but will not be able to take any actions. Some communication features will still work like AI chat and submitting a ticket.
    • Admin - the new user will have full access to the business account, including all edit/write permissions such as categorizing transactions, adding comments to threaded notes, or making changes to payroll. 
💡 The Admin access is only to the business information and not to the account information. For example, the owner's personal information cannot be accessed by the Admin user.
  • Click the Submit button. An email invite will be sent to your added users and the user will show up as "pending" in your user management table.

  • Pending invitations will have the status "Invited"
  • You can resend the inviation or cancel it by clikcing the 🗑️ icon

  • You can edit the permissions for an Active user by clikcing the Edit button. 
  • Change the permission on the dropdown and click save. 
  • You can also remove the user from your account by clicking the 🗑️ icon and confirming your action. 
  • Chnages will take effect immediately upon confirmation.
